I follow up on sales and operations together with the MD. I manage and maintain the MD’s diary and administration. Filter emails highlight urgent correspondence and print attachments. Organize documents and emails into the appropriate folders. I also deal with appointments, customers questionnaires and local administration. I ensure busy diary commitments, papers and travel arrangements are managed effectively. Conducting weekly diary meetings with the MD to discuss upcoming engagements, operations and sales schedule. Coordinating travel, visas and accommodation requirements in connection with others and ensure arrangements in place for the MD match his requirements. . I attend meetings on behalf of the MD. I am in charge of the procurement processes and support the commercial and logistics department. I liaise with all the other departments to make sure that work is done on time. I ensure that the MD is fully briefed on, or prepared for, any engagements he is involved in. Keeping and maintaining an accurate record of papers and electronic correspondence on behalf of the MD. I prepare correspondence on behalf of the MD. Minute general meetings as required and complete research on behalf of the MD. I ensure that guests meeting with the MD are well taken care of. I am also responsible for our francophone suppliers. I liaise with the freight forwarders in the francophone countries where we have suppliers and track till our goods arrive at its destination.

As a bilingual Secretary, I read and translated letters and other documents, wrote letters on behalf of the company, dealt with telephone enquiries and visitors. I was responsible for general secretarial duties which include dealing with routine enquiries, taking messages, word processing, filing, photocopying and keeping an appointment diary. I received visitors and handle arrangements for their stay, including hotel bookings and travel itineraries. I was also responsible for inputting sales orders onto the system and also in the absence of the supply chain manager, I handled the company’s supply chain department. I was in charge of application and renewal of residence and work permits for Expatriate Staffs at Ghana Immigration Service. I received couriers on behalf of the company and sorted them out for the various departments. I was also responsible for organizing the staffs for safety talks and any other program. I was in charge of purchasing all the items needed in the office and also as the office manager, I handled maintenance of the company’s properties. As a personal assistant to the MD, I made sure that all his domestic items are functioning properly and when there is any issue with the services being rendered to him by various people, I make calls and then rectify them.
